Job Summary

The Administrative Assistant is vital and performs a role which requires professionalism, attention to detail, flexibility and the drive to perform in a fast-paced environment. It is vital that the individual in this position be self-driven as well as show initiative to solve issues that arise. In this position, you will have lots of interaction with clients by phone, email and in person. You will be the first point of contact for many of these clients and must be capable of performing both administrative and professional responsibilities. The role is for full-time employment at 40 hours a week. You may be required to work some overtime and some weekends.

Position Requirements

What You’ll Do

As an Administrative Assistant, you’ll help deliver an exceptional experience for both our clients and our professionals by:

  • Preparing and assembling tax returns, financial statements, and client deliverables
  • Formatting and proofreading reports, correspondence, and other professional documents
  • Supporting partners, managers, and accounting professionals with administrative needs
  • Managing electronic files, workflow systems, document scanning, and recordkeeping
  • Coordinating client signatures and secure document delivery through digital platforms
  • Handling incoming and outgoing mail, correspondence, and client communications
  • Maintaining organized files, databases, and administrative processes
  • Answering and directing calls professionally as needed
  • Assisting with special projects and firm initiatives
  • Supporting our team during busy tax and audit seasons

Required Qualifications

  • High school diploma or equivalent
  • 3+ years of administrative experience in a professional office environment
  • Strong proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams
  • Exceptional organizational and time-management skills
  • Excellent written and verbal communication abilities
  • Strong attention to detail and commitment to accuracy
  • Ability to handle confidential information with professionalism and discretion
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment

Preferred Qualifications

  • Experience in public accounting, financial services, legal, banking, or other professional services firms
  • Associate or bachelor’s degree
  • Experience with document management systems, workflow software, Adobe Acrobat, or client portals
